For many business owners, the first worry about AI isn't the price or the technology. It's this: "What happens to my data?" It's the right question. AI systems read emails, client files, invoices and sometimes contracts. Here are the seven questions to ask any provider before you start, and the answers you should expect.
You should know which servers and which region host your data. For European businesses, data hosted in the EU makes GDPR compliance simpler. A serious provider answers this clearly.
This one matters. Your client information should not end up improving someone else's AI. Ask for a clear yes or no, and check that the AI services used are configured so your data isn't used for training.
Good systems give each person, and each AI agent, access only to what they need. Your invoicing agent doesn't need your HR documents. Ask how access is controlled and whether you can see who did what.
If an AI agent sends an email or updates a client file, you should be able to see it. Activity logs protect you: you can check, correct, and understand what happened.
Sending a contract, issuing a refund or deleting a record shouldn't happen without a human. Ask which actions the AI can take alone and which ones wait for your approval, and make sure you can change those rules.
Under GDPR, you remain responsible for your clients' personal data, even when a provider processes it for you. That's why a data processing agreement (DPA) between you and your provider is standard practice. Ask for it.
Your data belongs to you. You should be able to get it back in a usable format and have it deleted from the provider's systems. If the answer is vague, be careful.
Security comes first in every project we build: strict access controls, isolated environments, activity logs, human approval on sensitive actions, and your data is not used to train models by default. We're happy to go through these seven questions with you on a call, and we also offer security reviews for existing software. Ask us anything; the demo and the quote are free.
